Grain Donations and Grain Elevator Procedures
Canadian Foodgrains Bank can receive donations of any type of grain, pulse crop or oilseeds. Most grain elevators and companies are registered to receive your donation and should have grain delivery tickets from the Foodgrains Bank on hand.
Simply call the grain elevator ahead of time or check with our regional coordinator and we can help ensure everything goes smoothly.
Tax receipts are issued to you from the Foodgrains Bank for the value of the grain donated on the day of delivery.
Elevator Procedures
Ontario, Quebec, Maritimes and Lower Mainland British Columbia
Helping us handle grain for the world's hungry may be easier than you think. If you haven't handled grain donations for us in the past, we've outlined some simple procedures to follow when accepting donations from your customers.
- A Canadian Foodgrains Bank Grain Delivery Ticket should be filled out for each donation. Please be sure to check the appropriate box to indicate which member account of Canadian Foodgrains Bank is to receive the donation. Please also indicate if the grain has been sold (cashed out) or stored.
- The donor's complete address must be printed on the Foodgrains Bank Grain Delivery Ticket. This ensures the donor receives a tax-deductible receipt. If the donation is from a community growing project, record the delivery in the name of the growing project, not in the name of the person who delivered the grain. Also provide the name of the individual who is serving as the project's coordinator.
- The donor gets the white copy of the Grain Delivery Ticket. Staple the yellow copy to your company's settlement slip and send it to your head office. Your company will forward this information to Canadian Foodgrains Bank with payment for the value of the donation received.
- Storage Accounts - you also have the option of setting up a storage account for Canadian Foodgrains Bank. This account will allow you to centralize all donations coming into your elevator. Upon receiving notice of grain in your elevator, Canadian Foodgrains Bank is able to arrange the shipment or cash sale of the grain to correspond with our shipments overseas. If you choose to hold grain in storage for us, please send the official grain storage receipt to the Foodgrains Bank office in Winnipeg, along with the yellow copy of our Grain Delivery Ticket. Please fill in the value of stored grain as of the day of delivery for income tax and receipting purposes.
- Ontario Wheat Board - donors may contribute wheat to the Foodgrains Bank at any agent of the Ontario Wheat Board. Donations may be consolidated at a terminal elevator for future shipment. Transfer costs from country elevators to terminal elevators may be charged to the Foodgrains Bank. Further information on this procedure was distributed by the Ontario Wheat Producers Marketing Board earlier in the year.
- Grain Delivery Tickets are available by calling the Foodgrains Bank office toll-free 1-800-665-0377.
Prairies and Peace River Area
Helping us handle grain for the world's hungry may be easier than you think. If you haven't handled grain donations for us in the past, we've outlined some simple procedures to follow when accepting donations from your customers.
- Below is a list of 2009/2010 CFGB Donation Values for the following grades which can be accepted through the Canadian Wheat Board program:
o CWRS #4 or better #1 or #2 CW Extra Strong
o #1 or #2 CWRW #1 or #2 CWSWS
o #1 or #2 CPSR #1 or #2 CPSW
o CWAD #5 or better
o All other grades, feed wheat, barley and all non-board crops are sold at the cash price on the day of delivery outside the CWB program.
- Deliveries of grain to Canadian Foodgrains Bank will no longer be taken on an “in-store” basis. All grain deliveries will now be cashed out using the procedures below:
o The elevator company will receive the donation as it would any other delivery. For donations of CWB accepted grain (above), the producer number to be used for deliveries to the account of Canadian Foodgrains Bank is 00-10773547. This will generate a cash ticket in favour of CFGB, with all appropriate deductions being settled immediately. The initial price in effect at the time of delivery will be used to calculate the value CFGB receives.
o Please do not add this producer number to any permit book. Do not amend this number in any way. Please quote contract number 110820 for wheat deliveries and contract number 110818 for durum deliveries.
- A Canadian Foodgrains Bank Grain Delivery Ticket must be filled out for each donation. Where appropriate, please use the value/MT on our attached sheet. No deductions should be recorded on the Grain Delivery Ticket. If the donation is being made by a local community growing project, please record the name of the growing project. For individual donations, the donor’s complete address must be printed on the Foodgrains Bank Grain Delivery Ticket. This ensures the donor receives a tax-deductible receipt. Please indicate which Member Agency the donor would like credited.
- The producer/growing project gets the white copy of the Grain Delivery Ticket. The yellow copy should be stapled to your company’s elevator cash ticket and sent directly to Canadian Foodgrains Bank.
- Additional Grain Delivery Tickets are available by calling our office toll-free 1-800-665- 0377 or by visiting our website to order on-line @ www.foodgrainsbank.ca
- Donations to the Foodgrains Bank are over-delivery donations.
- Payments to Local Projects: Some projects will have their own producer numbers and may request payment for both Board and Non-board deliveries to be made in the name of the local project. Many new and existing growing projects like to show their support by including the name Canadian Foodgrains Bank alongside their project name. As grain deliveries begin arriving, please note when issuing cheques that include the name “Canadian Foodgrains Bank” as the Payee, such payments must be mailed directly to: Canadian Foodgrains Bank, PO Box 767, Winnipeg, Manitoba. We would encourage elevators to issue payment for deliveries in the name of and directly to the local growing project, omitting “Canadian Foodgrains Bank” from the cheque face.
- If a producer is concerned about the CWB contract commitment, you can ask the CWB to deduct the donation from their contract commitment.
